Ministry implements smart office system


The Ministry of the Municipality and Urban Planning has implemented the smart office system via smartphones for directors and officials of the ministry.
“The smart office system helps officials in following up their work and acquainting the decision-makers with vital information whenever required,” Khalaf Ajlan al-Enazi, director, information systems department at the ministry, said.
Version one of the smart office system is targeting the directors of municipalities, central departments and peers of those directors. Extension of this system includes the directors of municipalities, and chairmen of centres and committees.
Later on, the system would be provided to heads of sections, and to those whom it may benefit in the ministry. It is anticipated that, this system will reflect positively on the performance of works, especially with the ministry’s technical shift and its vision on being a paperless ministry by the end of 2017.
The Intelligent Office contains some auxiliary systems, such as My Files application, which allows the downloading of important files, as well as projects follow-up application, that enables the director to have insight into the most important projects and their progress. By browsing the projects, he will know the project manager in-charge, and communicate with him through SMS to his phone, instructing him to update the data or report.
